Real estate mail runs on two clocks

The slow clock is listing acquisition. Owners often decide to sell after a life event such as a new baby, a retirement, a job move or an estate, and then choose an agent. A farm puts your name in front of one neighborhood's owners before that choice, in the same homes on a steady schedule for a year or more.

Proposition 19 letter for long-time owners

Proposition 19 lets owners 55 or older, severely disabled owners and victims of wildfire or other natural disasters transfer their home's base year value to a replacement home anywhere in California. For long-time owners in the farm, it is a sourced reason to talk about a move.

Selling in a fire zone

Sellers of homes in high and very high fire hazard severity zones must give buyers defensible space documentation where a local ordinance or inspection program provides it, or sign an agreement for the buyer to get it (Civil Code 1102.19). The State Fire Marshal's updated zone maps for Local Responsibility Areas came out in early 2025, so check the farm against them.

Choosing a farm, a radius or a client list

Farm mail goes to a neighborhood you can credibly claim, listing and sold mail to a radius in feet around the address, and past-client mail to your own file. Draw the farm as a subdivision boundary or build it from the carrier routes that form it, and choose it on turnover (homes sold in a year divided by homes), how much of that business one agent already has, owner share, and a budget that covers every home for a year.

Absentee owners, such as investors who rent out homes in the farm, need an addressed list, because EDDM delivers to the property, not to the owner.

Mailing List Builder counts are Census estimates bundled into Plavidian's system, not a live feed, and the list is built after you order. Plavidian holds no MLS data, sales history or per-home values, so turnover comes from your MLS or county records.

Use EDDM when your farm is a set of whole carrier routes, mostly single-family and owner-occupied, and the piece can be a flat. Use an addressed list for owners only, boundaries that cut across routes, small radii around a listing, absentee owners or personalization.

What it costs

How much does real estate direct mail cost?

Real estate mail is priced per drop: the homes you mail times the cost per piece, and a farm multiplies that by every drop in the year. The cost per piece depends on the piece and stock, EDDM or an addressed owner list, and the postage class and entry point.

Farm size
One piece per home per drop; printing gets cheaper per piece as quantity rises.
Piece and stock
Size and shape set the postage: a 6 x 11 just listed card mails as a letter, and an 8.5 x 11 EDDM market update mails as a flat at the USPS EDDM price. Heavier 16pt stock adds printing cost, not postage.
EDDM or a list
An addressed list adds list work and lets you mail owners only, absentee owners or past clients.
Postage and density
Marketing Mail postage is lower than First-Class Mail, and its USPS service standard is longer for mail entered at origin, so it suits a monthly farm card better than an open house invitation with a date to meet. A dense farm list can earn carrier route prices, and EDDM postage drops with SCF or DDU entry.
Cadence
A monthly farm is 12 drops a year, and each just listed or just sold card adds a drop around that address.

Printing can be paid by card. USPS postage is paid by check or wire, and mail is released once postage has cleared.

Measuring results

Measuring a farm and a listing mailing

Count listing appointments, listings and referrals from inside the farm over the year, not per drop. Give the farm its own trail, such as a QR code to a page only the farm sees, a phone number printed only on farm mail or a code on the home value offer, and check each new listing's address against the mailed list.

Plavidian Insight is included with every Plavidian mailing at no separate charge. On an addressed farm or just listed mailing it follows each card through USPS scans, so you can see whether the cards are moving before the open house; where route farm flats travel on pallets, it also shows a pallet's arrival scan at the delivery unit when USPS records one. Rules for real estate mail in California

These rules are the licensee's and the responsible broker's to meet; Plavidian produces the piece as approved on the proof.

License number and broker
First-contact mail such as farm and just listed cards must show your name, license ID and responsible broker's identity (plus an NMLS ID for a loan originator) and a designation such as broker or agent (10 CCR 2770.1). B&P Code 10140.6
License number type size
The 8-digit number can be no smaller than the smallest type on the piece, and each licensee named needs their own number. 10 CCR 2773
Team names
Show the team name with at least one member's name and license number, the responsible broker's identity as prominently as the team name, and nothing that implies a separate brokerage. B&P Code 10159.6
Fair housing in the copy
Housing ads may not show a preference or limitation based on a protected class, in words or photos. California adds classes such as source of income and gender identity (Gov. Code 12955). 42 U.S.C. 3604(c)
Who receives listing mail
HUD's rule bars selecting where housing ads go in a way that denies people information because of a protected class, and familial status is one. Choose recipients of just listed and open house mail by distance, route or relationship, with no household filters such as children at home. 24 CFR 100.75(c)(3)
Blockbusting
Never urge owners to sell by pointing to people of a protected class moving into the neighborhood: it is unlawful under federal law and grounds for discipline of a California licensee. B&P Code 10177(l)
Claiming a sale
For NAR members, only the listing or cooperating broker may claim to have 'sold' a property (Standard of Practice 12-7). A market update can report nearby sales without implying you sold them, if your MLS allows it. NAR Code of Ethics 2026
Coming soon cards
NAR's Clear Cooperation Policy requires MLS submission within one business day of marketing a listing to the public, with window flyers and yard signs among its examples. Mail is not named, so check your MLS first. NAR Clear Cooperation Policy

What is real estate farming by mail?

Farming is mailing one neighborhood, the farm, on a steady schedule so its owners know your name when they decide to sell. The mail carries local sales and market facts rather than a pitch.

Turnover is homes sold in a year divided by homes in the farm; get the sales from your MLS or county records and compare candidate farms against each other.

Pick a cadence you can keep for at least a year, such as monthly or every six to eight weeks, and budget it as homes times drops times cost per piece.

What has to be on a real estate postcard in California?

Your name, a designation such as agent or broker, your 8-digit DRE license number and your responsible broker's identity, with the number no smaller than the smallest type on the card. Each licensee named needs their own number, and a team name adds its own rules.

Meeting these rules is your job and your broker's; Plavidian does not review mail for them.

How far ahead should I order open house postcards?

Place the order so the cards reach homes a few days to a week before the open house, counting back USPS delivery time and production, which starts after proof approval. Order cutoffs are 9:00 AM Pacific for a 2-day rush on certain products and 12:00 PM Pacific for every other turnaround.

First-Class Mail has a shorter USPS delivery window than Marketing Mail entered at origin; see Turnaround Times for production windows.

Can I mail only homeowners?

Yes, for mail that promotes your services, such as a farm card or a Proposition 19 letter: an addressed list can be limited to owner-occupied homes. EDDM cannot, because it reaches every residence on a route.

Mail that advertises a specific home goes by distance or route, with no household filters such as children at home (24 CFR 100.75).
