Mail Date Planner: work backward from the day it lands

Tell us the day your mail has to be in homes. This builds the whole schedule backward from it: when your artwork is due, when the proof has to be approved, when it prints, when the list is processed, and the last day it can enter the USPS. Transit is only the final leg, and on most campaigns it is not what decides the date.

Business days only. Weekends and federal holidays are skipped. Planning windows come from USPS service standards, not delivery guarantees.

How the schedule is built

Every stage, and why it takes the time it does

Production sets the date far more often than transit does. A postcard drop that has to land on a Tuesday needs artwork locked weeks earlier, and the schedule above names the weekday each of those steps falls on so nothing is a surprise.

Preflight, 1 business day

Your files are checked for bleed, resolution, color space and the USPS address and barcode areas before anything is scheduled. Problems found here cost hours; problems found on press cost days. Run files through the free artwork check early.

Proof approval, 2 business days

A proof goes out and nothing prints until you approve it. This is the stage most often underestimated, because it depends on your schedule rather than ours.

List processing, 2 business days

CASS standardization, NCOALink move update, deduplication and presort. Your postage rate is decided here, which is why it is a scheduled stage and not an afterthought. EDDM skips it because there is no list.

Printing and finishing

Driven by format and quantity: a postcard runs faster than a booklet, and personalization adds a day. The schedule above uses the figure for what you selected.

Mail prep and entry, 2 business days

Addressing, inserting, trays and pallets, postage statements and USPS acceptance. We enter directly at the business mail entry unit.

Transit

The only stage USPS controls. First-Class runs fastest; Marketing Mail is the workhorse. Drop-shipping to the destination SCF removes network legs and buys days back.

Frequently asked questions

How long does direct mail take to arrive?

After USPS takes custody: First-Class Mail typically 2 to 5 business days, USPS Marketing Mail and carrier-route saturation 3 to 10 business days. Those are planning windows from USPS service standards, not guarantees, which is why any campaign with a hard date should be planned backward with room to spare. Transit is also the last leg - on most campaigns, production sets the date.

When do my artwork files need to be ready?

The schedule above names the exact day. Working backward from your in-home date it subtracts transit, USPS entry and mail preparation, printing, list processing, proof approval and preflight. For a postcard on Marketing Mail that is usually about four weeks before the mail lands, and longer if we are designing it.

Does the mailing list affect the schedule?

Yes, and it is the stage most schedules forget. CASS standardization, NCOALink move update, deduplication and presort take real business days, and your postage rate depends on the result. EDDM has no list, so that stage drops out of the schedule.

Can a mailing be rushed if the standard schedule does not fit?

Usually. The levers are real: a faster proof round, First-Class instead of Marketing Mail, a priority press slot, and drop-shipping closer to the destination. Send the schedule through and we will tell you which of them your date actually needs rather than promising a date we have not checked.

When should holiday cards mail to arrive before Christmas?

Set the in-home date to December 24 in the planner above and it builds the schedule for your format and quantity. As a rule of thumb, First-Class needs to enter USPS about a week before, Marketing Mail about two, and production runs before that - so holiday files should be locked in November.

Does drop shipment really save time?

Yes. Entering mail at the destination sectional center facility instead of our origin BMEU skips network legs and typically removes 4 to 6 business days. Choose 'Drop-shipped to the destination SCF' above to see the effect on your own dates.
