Privacy Notice
Effective date: July 25, 2026 · Last updated: July 25, 2026. How Plavidian collects, uses, discloses, retains, and protects personal information across its websites, portal, tools, and services.
1. Scope
This Privacy Notice explains how Plavidian collects, uses, discloses, retains, and protects personal information in connection with: visits to Plavidian websites; Job Control Center accounts; Mailing Intelligence Center accounts and tools; quote and consultation requests; orders, proofs, invoices, and payments; customer service and communications; business contacts; employment inquiries; and Plavidian's own business operations.
2. Plavidian's different data roles
Depending on the interaction, Plavidian may act in different capacities.
A. Information Plavidian controls for its own operations
Plavidian determines the purpose and use of information relating to website visitors, account users, customers, customer contacts, vendors, applicants, and its own business administration. Privacy requests concerning this information should be directed to Plavidian.
B. Customer Data processed to perform services
Customers may provide personal information for printing, mailing, list processing, data analysis, suppression, fulfillment, or reporting. For this data, Plavidian ordinarily processes the information only to perform the customer's instructions and contractual services. The customer remains responsible for its relationship with the affected individuals and for receiving and deciding applicable privacy requests.
C. Data made available by independent providers
Independent data providers may make licensed marketing data available through interfaces or services supported by Plavidian. The provider determines how the underlying data was compiled, what attributes are offered, and the permissible uses; Plavidian is not the original compiler or owner of the provider's underlying database. What Plavidian does with records it receives for a customer's project is described under Marketing Data Received for Customer Projects below, and the relationship and ownership terms are in the Terms of Use and Service.
3. Marketing data received for customer projects
After a customer selects and licenses a marketing list for an authorized project, Plavidian may receive personal information from an independent third-party data provider.
Plavidian temporarily stores and processes those records only as reasonably necessary to prepare and complete the customer's authorized project. Processing may include postal standardization, address updating, NCOA processing, suppression, deduplication, householding, segmentation, formatting, variable-data preparation, printing, addressing, mailing, reporting, reconciliation, and troubleshooting.
Plavidian does not use provider-supplied marketing data to create its own independent consumer database, market Plavidian's services to the listed individuals, or independently sell, share, sublicense, or use the records for unrelated marketing, profiling, or cross-context behavioral advertising.
The independent data provider is responsible for its underlying database, compilation practices, provider-level privacy notices, and administration of requests concerning the source data. The customer is responsible for the legality of its marketing purpose, audience selection, required notices, suppression files, opt-outs, and use of the licensed information.
Plavidian retains provider-supplied data only for the period reasonably necessary to complete the authorized services, resolve production or delivery issues, maintain limited backups, document fulfillment, and satisfy applicable legal or contractual requirements. The records are then deleted, returned, or made inaccessible in accordance with the applicable agreement and Plavidian's retention schedule.
Requests concerning the source, accuracy, correction, deletion, opt-out, or underlying compilation of provider-supplied data should ordinarily be directed to the responsible data provider or customer. Plavidian may route or assist with such requests as required by applicable law and contract. Where Plavidian processes personal information as a service provider or contractor, it is generally not required to independently fulfill a deletion request sent directly by a consumer, but it will cooperate with the responsible business under the governing contract. This handling is subject to Plavidian's Third-Party Marketing Data License Terms.
4. Information we collect for our own operations

5. Sources of information
We collect information from: the individual; the individual's employer or organization; authorized account administrators; customers, consultants, brokers, campaigns, agencies, and vendors; website and portal interactions; payment, hosting, authentication, analytics, communication, and security providers; public records and government sources; independent data providers; and information generated through performance of an order.
6. Why we use information
We may use information to: create and administer accounts; provide quotes, counts, consultations, and customer support; process orders and payments; prepare proofs and production files; print, mail, ship, track, and report on projects; communicate about orders and services; authenticate users and protect account security; improve website, portal, tools, and service performance; prevent fraud, abuse, and unauthorized access; maintain records; enforce contracts; comply with legal and postal requirements; manage vendors and business operations; evaluate applicants; market Plavidian's services to business contacts as permitted by law; and establish, exercise, or defend legal claims.
7. Cookies and similar technologies
Plavidian may use cookies and similar technologies for authentication, account sessions, security, user preferences, website functionality, performance measurement, error diagnosis, and analytics. Where required, users will be provided with applicable choices or notices. Plavidian does not intend to use customer mailing-list data for cross-context behavioral advertising.
8. When we disclose information
We may disclose personal information to: hosting, storage, authentication, security, analytics, communications, payment, accounting, shipping, and technology providers; printers, mailers, finishers, transportation providers, postal logistics providers, and other production subcontractors when required for an order; USPS and other postal or delivery operators; independent data providers when needed to obtain counts, license data, fulfill an order, or enforce usage restrictions; professional advisers, auditors, insurers, and financial institutions; government agencies, regulators, courts, and law enforcement when legally required; parties involved in a merger, financing, acquisition, reorganization, or sale of assets; and other persons at the customer's direction or with authorization. We require service providers and contractors to protect information under appropriate written terms.
9. Sale and sharing
Plavidian does not sell Customer Data that it receives solely to perform print, mailing, list-processing, or related services for a customer. Plavidian does not use Customer Data received for a customer's order for cross-context behavioral advertising.
Plavidian may facilitate a customer's license or acquisition of a marketing data product from an independent data provider. The provider's transfer or license of that data is governed by the provider's privacy notice, license, and applicable law. Whether a particular transaction constitutes a "sale" or "sharing" under California law depends on the parties' roles, the information involved, the contractual restrictions, and the applicable legal definitions. Nothing in this notice should be interpreted as waiving a legal right or conclusively determining a statutory classification.
10. Data retention
We retain information for as long as reasonably necessary to: complete and support an order; maintain the customer relationship; permit reorders when requested; satisfy contractual, accounting, tax, postal, insurance, and legal requirements; resolve disputes; maintain security logs; enforce agreements; and establish or defend legal claims. Retention periods vary based on the information and service. Customer mailing files and licensed data may be subject to shorter contractual retention periods, single-use restrictions, provider requirements, or customer instructions. Plavidian may retain archived or backup copies for a limited period until overwritten or securely deleted in the ordinary course.
11. Security
Plavidian uses administrative, technical, and physical safeguards reasonably appropriate to the nature of the information. Measures may include account access controls, role-based permissions, encrypted transmission, system logging, backups, malware protection, vendor review, employee confidentiality requirements, restricted facility access, and secure deletion or destruction procedures. No system is completely secure, and Plavidian cannot guarantee that unauthorized access or disclosure will never occur. See our Security and Data Handling page for more.
12. Privacy rights and requests
Depending on applicable law and Plavidian's role, individuals may have rights concerning personal information Plavidian controls, including rights to request access, correction, deletion, or information about Plavidian's practices. Requests concerning mailing-list or licensed provider data
When a request concerns information supplied by one of Plavidian's customers, used in a customer's mailing, maintained by an independent data compiler or provider, or processed by Plavidian solely on another organization's behalf, the request should ordinarily be directed to the customer, sender, list owner, or data provider that determines how the information is used. Plavidian may help identify or contact the responsible organization when sufficient information is supplied, but Plavidian does not independently decide requests concerning data it does not control unless required by law.
13. California-specific disclosures
California residents may have rights under the California Consumer Privacy Act when the CCPA applies to the entity and processing involved. Plavidian's obligations may differ depending on whether it acts as a business for its own operational information, a service provider or contractor for a customer, an intermediary supporting an independent data provider, or another role defined by law. For Customer Data processed under a service-provider or contractor agreement, Plavidian will assist the responsible business as required by law and contract. Plavidian does not discriminate against an individual for exercising a legally protected privacy right.
14. Children
The services are intended for business and organizational users and are not directed to children under 13. Plavidian does not knowingly collect personal information directly from children under 13 through account registration or website services. Customers may not use the services to unlawfully target or exploit minors.
15. External sites and services
The website may link to third-party sites, tools, data providers, payment services, or government resources. Their privacy practices are governed by their own notices. Plavidian is not responsible for third-party privacy or security practices.
16. Changes to this notice
We may update this notice to reflect changes in services, technology, legal requirements, or business practices. The updated version will identify its effective or last-updated date.
