List processing

Before anything prints

Your list goes through CASS standardization, NCOA, deduplication, suppression and householding, and you get a report of what changed and what was removed.

Postal optimization

Paying for the presort you earned

Presort level, entry point and piece geometry determine the rate. We test the mailing against carrier-route and density qualification and enter where it makes sense rather than defaulting to one facility.

Tracking

Knowing when it was delivered, as USPS scans show it

Every piece carries an Intelligent Mail barcode and USPS scans are collected piece by piece, so a response curve can be read against USPS scan-indicated delivery activity instead of a guessed in-home date.

Programs

What commercial direct mail is usually trying to do

Acquisition and prospecting
New customers from purchased or modeled lists, measured by cost per acquisition rather than by response rate alone.
Retention and renewal
Existing customers on a schedule, where the list is yours and the data work is deduplication and suppression rather than sourcing.
Reactivation
Lapsed customers, usually the highest-yield list a business already owns and the one most often ignored.
Local and radius marketing
Geographic saturation around a location. Compare EDDM against addressed saturation mail: EDDM is cheaper per piece and cannot target a household, addressed saturation can.
Recurring monthly programs
Same format, fresh data each cycle. Once the rules are set the cycle repeats without being rebuilt.
Informed Delivery campaigns
A color image and click-through in the recipient email preview, tied to the same mailing. See the Informed Delivery guide.

Where the money goes

Postage is decided by data, not by the press

On a typical commercial mailing, postage is the largest line and production is the second. The difference between an automation presort and a nonautomation rate, or between a five-digit and a carrier-route qualification, is worth more per piece than most printing decisions. That is why list processing happens before quoting rather than after: CASS standardization, NCOALink and deduplication determine which rates the mailing can claim.

Piece format

Letter or flat: the decision that sets the postage

Whether a piece mails as a letter or a flat is decided by dimensions and thickness, and it changes the postage materially. A 6 x 11 postcard is a letter; make it 6.25 x 11 and it becomes a flat. Most commercial mailings should be designed to stay inside letter dimensions unless the content genuinely requires the size. Our free piece-size tool answers this before artwork is finalized, which is considerably cheaper than answering it after.

Frequency

Mail the same list more than once

Direct mail response is cumulative in a way that single-drop budgeting tends to obscure. A prospect list mailed once produces a response rate; the same list mailed three times over a quarter usually produces materially more total response than three separate one-off mailings to three different lists. Where budget is constrained, mailing a smaller list more often generally outperforms mailing a larger list once.

Reporting

Knowing what was delivered, and when, from USPS scan data

Every mailing is followed piece by piece through USPS Informed Visibility scans, which means a response curve can be read against scan-indicated delivery activity rather than an assumed in-home window (scans show mailstream visibility and modeled delivery, not package-style proof of delivery). For a program measured on cost per acquisition, that distinction decides whether a mailing looks like it worked.

Starting prices

What this actually costs

Printing only, before postage and before any account pricing. These are live figures from current vendor cost, not a rate card someone typed last year. Postage is quoted separately because it depends on the finished piece and the presort it qualifies for.

One connected workflow

Data to proof, one provider

Most mailings cross three or four vendors. Every handoff is a place where a list changes, a piece goes missing, or nobody can say what actually happened. Plavidian runs all six steps itself, with one set of records.

  1. DataCASS, NCOA, dedupe, householding, presort
  2. PrintVariable production, matched inserting
  3. VerifyCamera add-on reads every piece, diverts exceptions
  4. MailFull-Service preparation, eInduction, entry

One provider. One connected workflow.

Questions

Frequently asked questions

What is the minimum quantity for a mailing?

Short runs are welcome; we produce local mailings from a few hundred pieces. Commercial minimums vary by class: USPS Marketing Mail generally requires 200 pieces or 50 pounds, while presorted or automation First-Class Mail requires 500 pieces. Below those, mail goes at retail rates, and we still produce it.

Do you provide mailing lists?

Yes, for prospecting by geography or demographic selection, and we process customer lists you already own.

Can you match Informed Delivery to the mailing?

Yes. The Informed Delivery campaign is tied to the same mailing, so recipients see a color image and a click-through in their email preview.

How is postage handled?

Postage is quoted separately from production because it depends on the final piece and the qualified presort. You see the postage figure before the mailing enters. Postage is paid by check or wire transfer, never by card, and no mail is released to USPS until the full postage has been received in cleared funds.

What does a mailing actually cost?

Production plus postage. The free tools will give you a postage estimate before you talk to anyone.

Can you suppress our existing customers from a prospecting list?

Yes. Send the customer file and it is applied as a suppression, which is usually the cheapest improvement available to an acquisition mailing.

Do you offer design?

We produce to your artwork, and we will tell you when a design will not qualify for the rate you are expecting before it prints. See designing for mail.
