Advisors, banks, credit unions and tax preparers
Financial services direct mail for advisors, banks and credit unions
Financial mail works at dated moments: a workshop three weeks out, a required minimum distribution due by December 31, a new household near a branch, the start of tax season. Plavidian, a print and mail production company in Vista, California, prepares the list, prints what your compliance review approved and mails it on its own USPS permits.
Workshop audiences counted by householder age, income and ownership
Letter packages with an RSVP card and a Business Reply envelope
Production starts only after you approve the compliance-cleared proof
Sourced FINRA, SEC, Reg Z, NCUA and California rules to check
Plavidian Insight™ USPS scan visibility, included with every mailing
How mail fits
Financial mail follows life events and deadlines
Advisory clients arrive through referrals, CPAs and estate attorneys, workshops and life events such as a retirement date, a 401(k) rollover or reaching RMD age. The decision is slow and rests on trust, so mail should invite a next step, a seat or a review, rather than pitch.
Banks and credit unions win households near each branch, new movers especially, then cross-sell loans, HELOCs, certificates and cards through statement inserts and member letters. California also requires dormant account notices, which can bring an owner back.
Tax preparers reactivate last year's clients in January, sign new ones before mid-February and remind extension clients before October.
Campaigns that work
Five financial mailings and when to send them
Each starts from a date: an event, a distribution deadline, a move or a filing season.
Retirement income workshop invitation
A dated event with a clear topic gives people a reason to reply: an invitation, a reminder, and RSVPs by phone, web page or reply card.
Who
Owner households with a householder 55 to 64 or 65 and over, plus past attendees; the copy never mentions age or wealth
Where
A radius around the venue, weighted toward ZIP codes where clients live
When
In homes about three weeks before, reminder a week before; January to March or September to November
Piece
Invitation letter with RSVP card and Business Reply envelope, or a 6x11 postcard pair
Required minimum distributions (RMDs) generally start at age 73; the first can wait until April 1 of the next year, and later ones are due by December 31 (IRS). A dated reminder reads as service.
Who
Clients your records show are near RMD age, never inferred from a purchased list
Where
Your client file
When
In homes in September or early October
Piece
#10 window letter with a booking link: a general reminder, not individual tax advice
Mail past clients first, then the neighborhood. Promise no refund amount or date, and confirm deadlines yearly: disaster relief moves them by county, as in Los Angeles County in 2025.
Who
Unbooked prior-year clients, plus every household on nearby routes, renters included
Where
Your client file, and routes within a mile or two of the office
When
Early January, mid-February, and an extension reminder in September
Piece
Letter or 6x9 postcard for past clients; 6.5x9 EDDM flat for neighbors
Banks and credit unions must make reasonable efforts to notify owners of inactive accounts by mail, or electronically with consent, before the funds escheat, under a prescribed heading (CCP 1513.5).
Who
Owners of inactive accounts of $50 or more
Where
The institution's account file
When
Two to two and a half years after last activity, or 6 to 12 months before the account becomes reportable
Piece
#10 window letter; optional Plavidian Sentry™ camera verification, and those mailings close with a signed Plavidian Assurance™ Report
Drawing the audience: venue, branch area or client file
Start a workshop audience at the venue: a radius of a few miles, weighted toward ZIP codes where clients live. Mailing List Builder counts owner households there by householder age and income from bundled Census data; combined filters are labeled estimates, and the list is built after you order.
Banks and credit unions map each branch's trade area or field of membership; business outreach uses a licensed list chosen by employee count and industry.
Write to the topic, never the selection: on licensed lists, Plavidian's data license terms bar implying that you know a recipient's age, income or other selection attribute.
Use an addressed list for nearly all financial mail: workshops, planning letters, new movers, member offers and anything with a name. EDDM fits a branch opening or a tax office's neighborhood, where every household on the routes is a prospect.
EDDM Fits when
A branch opening or relocation
A tax office inviting every nearby household
A credit union entering a new trade area
Plavidian's EDDM flats: 6.5x9, 8.5x11 or 9x12, 200 or more
List An addressed list fits when
Workshop audiences by householder age, income or ownership
Client and member letters that carry names
New movers, who are on no customer file yet
Any letter-size piece, such as a #10 letter
For a branch or tax office, price every door in the EDDM Route Builder, then count the matching households in Mailing List Builder; when most match, EDDM's lower postage can win. EDDM pieces carry no names, so they never hold personal financial information.
Brings RSVP cards back. The reply address needs a USPS Business Reply Mail permit, which has an annual fee, and First-Class postage plus a per-piece fee is charged only on envelopes that come back.
Branded envelopes for invitations; letters that go into closed-face envelopes are matched by hand.
How it runs at Plavidian
From approved proof to USPS scans
Your compliance review sits between proof and production. Mailing List Builder, Mail Date Planner and Print File Check need no sign-in.
Mailing List Builder
Size the audience
Count owner households by age and income near a venue, or every household near a branch.
List processing
Prepare the file
Plavidian CASS-processes it, removes duplicates, households it and runs NCOALink move update when the mailing needs it. Send only the fields the piece prints.
Mail Date Planner
Schedule the review
Work back from the event or December 31 to the mail date and proof approval, leaving time for compliance review.
Print File Check
Check the approved PDF
Print File Check grades the PDF A to F and flags small and reversed text, so fine-print disclosures get a second look. It checks print readiness, not content, and keeps no copy.
Production in Vista
Print and insert
Letters print with variable data and are inserted with RSVP cards and reply envelopes, held to the Plavidian Standard™.
Plavidian Sentry™, optional
Optional: verify notices
Plavidian Sentry, for letter-size mail, matches each piece to its record as it is addressed and diverts mismatches for reprint.
USPS preparation
Enter the mail
Plavidian, a USPS Full-Service Certified Mail Service Provider, presorts the invitations or notices and mails them on its own permits.
Plavidian Insight™
Watch delivery scans
Plavidian Insight, included with every mailing, shows USPS scans by day, so you can time the reminder.
Informed Delivery®
Add a digital preview
Plavidian Impression™ can add a USPS Informed Delivery® image and RSVP link to eligible mailings; route both through review.
What it costs
How much does financial services direct mail cost?
Financial services direct mail cost turns on the quantity, the package, the list, the postage class and the number of drops: a workshop invitation with an RSVP card and reply envelope costs more to produce than a postcard, and a licensed new-mover or consumer list costs more than your own client file. Price one drop, then multiply by the drops a workshop or a year of new-mover mail takes.
Quantity
Printing costs less per piece as quantity rises, but postage is charged on every piece, so size a workshop list to the seats you need rather than the widest radius.
Piece and package
Size and stock set the printing cost. A letter package adds an envelope, inserting and reply pieces; keep it for anything that mentions an account, and use a postcard for reminders.
List source
Your own client or member file costs nothing to buy but still needs CASS processing, and NCOALink move update when the mailing needs it; a licensed new-mover list for a branch area, or a business list for business banking outreach, adds a list cost.
Postage class and entry
First-Class Mail costs more than USPS Marketing Mail but has a shorter USPS delivery standard than Marketing Mail entered at origin, which helps before a workshop date. Marketing Mail generally cannot carry personal information unless the piece advertises a product or service and all of that information relates to the ad (DMM 243), so a dormant account notice mails First-Class. In Marketing Mail, dense lists can reach carrier route prices.
Frequency
A workshop is two drops, a new-mover welcome twelve a year, a tax season two or three.
Printing can be paid by card. USPS postage is paid by check or wire, and mail is released once postage has cleared.
Measuring results
Measuring a workshop, member or tax mailing
Count results in your own records: RSVPs and meetings per workshop, new accounts matched against the mailed list, returning tax clients. Give each workshop its own RSVP line or web page and each member offer its own code, so every mailing leaves its own trail.
Plavidian Insight is included with every Plavidian mailing at no separate charge. It follows each invitation, letter or notice by its Intelligent Mail barcode through USPS scans and shows delivery counts, a day-by-day curve and a delivery map: mailstream visibility, not proof of delivery, and complete scan data is not guaranteed for every piece.
Informed Delivery campaigns through Plavidian Impression return USPS campaign data, which may include opens and clicks on the RSVP or booking link. Plavidian Impression is not affiliated with or endorsed by USPS.
Rules to know
Rules behind a financial mailer's copy and layout
Your principal, compliance officer or counsel applies these rules; Plavidian prints the proof you approve.
Broker-dealer mail
Mail reaching more than 25 retail investors within 30 calendar days is a retail communication: it generally needs a qualified registered principal's approval before use, must be fair and balanced, may not predict or project performance, and must prominently name the member firm. FINRA Rule 2210
SEC-registered adviser advertising
Rule 206(4)-1 bars untrue or unsubstantiated claims, allows testimonials and endorsements only with required disclosures and oversight, and permits gross performance only when net performance is also shown. SEC Marketing Rule guide
Insurance and annuity events in California
An ad for an event where insurance products will be offered for sale at the event or as a result of it may not call it a 'seminar', 'class' or 'informational meeting' unless 'and insurance sales presentation' immediately follows in the same type size and font. An insurance lead device, such as a reply card, aimed at people 65 and older must prominently disclose that an agent may contact the respondent, if that is the case. Cal. Insurance Code 787
Rates in credit and deposit ads
A credit ad that states a rate must state it as an APR, and triggering terms bring more disclosures (12 CFR 1026.16 covers HELOCs). A deposit ad states rates as an APY and cannot call an account free if a maintenance or activity fee may be imposed (Regulation DD for banks, 12 CFR 707.8 for credit unions). 12 CFR 1026.24
FDIC and NCUA statements
Banks show 'Member FDIC' or another official form, clearly legible, but never on ads solely for non-deposit products. Federally insured credit unions show a statement such as 'Federally insured by NCUA', in type no smaller than the smallest consumer information in the ad (12 CFR 740.5). 12 CFR 328.6
Prescreened offers of credit
Firm offers of credit or insurance based on prescreened consumer reports carry a short opt-out notice on the front of the first page, at least 12-point and larger than the principal text, pointing to the long 'PRESCREEN & OPT-OUT NOTICE'. 12 CFR 1022.54
Member files in California
Financial institutions may not share nonpublic personal information with nonaffiliated third parties without consent, except as the law allows; have counsel confirm the mail vendor arrangement first. Cal. Financial Code 4052.5
Tax preparer mail
Circular 230 bars practitioners' misleading solicitations and enrolled agents' use of 'certified', and requires keeping each direct mail piece and its recipient list for at least 36 months; B&P 22253 bars ads implying a preparer's bond means state licensure. 31 CFR 10.30
General information for planning a mailing, not legal advice. Confirm the rules that apply to you with your regulator or counsel.
Questions
Financial services direct mail questions
Do mailers work for financial advisors?
They can, when the mailer invites a dated next step, such as a workshop seat or a year-end review, rather than pitching a product. Plavidian publishes no response rates; judge a mailing by meetings booked and clients gained against your revenue per client.
Plan for invitations to reach homes about three weeks before the workshop and a reminder a week before, then work back to the mail date, proof approval and compliance review.
Order by 12:00 PM Pacific, or 9:00 AM Pacific for a 2-day rush on certain products; production starts after proof approval (Turnaround Times).
Does Plavidian review mail for FINRA, SEC or banking rules?
No. Your principal, compliance officer or counsel approves the content, and Plavidian prints and mails the proof you approve, so schedule that review before proof approval.
What has to appear on a credit union or bank mailer?
Ads generally need the official advertising statement, such as 'Member FDIC' for a bank or 'Federally insured by NCUA' for a federally insured credit union. Any rate must appear as an APR for credit or an APY for deposits, and a stated rate or triggering term brings further disclosures.
Only with Plavidian's written approval and an agreement in place, since consumer-report data cannot be submitted without them. The list comes from a consumer reporting agency; Plavidian's licensed marketing lists cannot serve as consumer reports or decide credit eligibility.
What client or member data should we send for a mailing?
Only what the piece prints and the mailing needs: names, addresses and the letter's variable text. Plavidian's data compliance terms bar Social Security numbers and complete financial-account credentials without its written approval and an agreement.
The Security page describes how Plavidian handles data and invites vendor security questionnaires.
Can Plavidian mail new movers for a branch every month?
Yes, as a new order each month: a fresh new-mover list for the branch area and the approved welcome piece. Plavidian does not run automatic recurring or triggered new-mover programs yet.
