Drawing the market area from your own move-ins

Start with your records, not a circle: map where the last 12 to 24 months of move-ins lived before, and where the family members who signed live, then draw the market area around the densest cluster. Mailing List Builder counts by city, county, ZIP, radius or a drawn shape.

Market studies often use 3, 5 or 10 mile rings and a 70/30 rule of thumb, but NIC MAP found some suburban, resort and rural properties drew only 9 to 56 percent of residents from within 10 miles.

Senior living direct mail cost depends on how many older households, inquiry records and referral offices you mail, whether each gets a letter package or a postcard, the list, the postage class and entry, and how many times a year each campaign mails. License number on every piece
California residential care facilities must show their current license number in any public advertisement or correspondence (H&S 1569.681 repeats it for RCFEs), so print it on every piece. H&S Code 1569.68
Advertising dementia care
An RCFE that advertises dementia special care must describe it in its plan of operation and share it on request; 22 CCR 87706 adds keeping copies of those ads for at least three years. H&S Code 1569.627
Fair housing in words and placement
Housing ads may not indicate a preference based on race, color, religion, sex, disability, familial status or national origin, and HUD's rule also covers where ads are placed. California adds more characteristics, including source of income. Have counsel review headlines, photos, payment language and the list selection. 42 U.S.C. 3604(c)
Saying 55+ or 62+
Federal 55+ housing needs at least 80 percent of occupied units to have an occupant 55 or older, plus published policies and verification (Subpart E). In California, a senior citizen is 62 or older, or 55 or older in a senior citizen housing development of at least 35 units. Civil Code 51.3
Veterans benefits mail
Only VA-accredited representatives may help prepare, present or prosecute VA benefit claims, including pension with Aid and Attendance, and California restricts mail with seals or symbols implying a government or veterans connection (B&P 17533.6), so keep benefits mail plain. VA accreditation FAQ

Does direct mail work for senior living communities?

Direct mail can work for senior living because the decision often takes months and involves several people, and mail reaches the older adult, the adult child and the referring professional. Inquiries, tours and move-ins traced to each mailing show whether it works for you.

Plavidian does not publish response rates, because the vendor figures quoted online cannot be verified.

When is the best time of year to mail for senior living?

For senior living, plan around the holidays: operators describe families starting the search after a holiday visit, so land a family guide the week before Thanksgiving and again in early January. November is also National Family Caregivers Month, a natural date for a memory care caregiver evening.

In Southern California the Santa Ana wind season peaks November through January (2019 study), so give events in those months a backup date.

What must a California assisted living mailer include?

A California assisted living mailer must show the facility's current license number. If it promotes dementia special care, that care must be described in the plan of operation, and copies of the ad must be kept for at least three years. Fair housing rules apply to its words and photos too.
