Two geographies: where the rentals are and where the owners live
The properties set the target: the ZIPs or drawn area you can serve for showings and repairs. The owners set where the mail goes, which can be another city or state, so plan even a local portfolio's owner file as a nationwide addressed mailing.
Owner files come from property records: pick the property types you manage, flag owners whose mailing address differs from the property address (expect trusts, LLCs and PO boxes), and dedupe so an owner of five rentals gets one piece. Plavidian can source property owner lists through licensed data providers (ask whether an absentee selection covers your area) or mail a file you bring.

Owner mail goes as letter-size postcards and letters, lease-up mail as EDDM flats, and association mail as First-Class envelopes. A 6x9 or 6x11 postcard and a #10 envelope fit the USPS letter limit of 6-1/8 by 11-1/2 inches (DMM 201); EDDM needs a flat.

Rules that shape property management mail
Most are California rules, where managing rentals for others is broker activity (B&P Code 10131); the fair housing ad rule starts with federal law, and California adds protected bases.

First-point-of-contact solicitations, including postal mail, must show the eight-digit license number and responsible broker's name, the number no smaller than the smallest type used. 10 CCR 2773

California adds more bases

HOA ballots
