Plan gym mail around the moments that can start a search for a club: the New Year, a move, a new club opening nearby, the weeks before summer or a doctor's advice. Nationally, a record 81 million Americans, 26.1% of those age 6 and older, belonged to a gym, studio or other fitness facility in 2025 (Health & Fitness Association), so nearly three in four people that age did not. Audience and area

Trade area: drive minutes, not miles

Draw the trade area by the drive at 6 a.m. and 6 p.m., not by a circle. Mailing Blueprint™, free with a Plavidian account, plots an uploaded member export on a distribution map: mail the core where members cluster and the commute corridors beside it. A high-volume, low-price club may draw mostly from the nearest neighborhoods, while a Pilates, cycling or boxing studio may draw from farther, where a filtered list fits better than full route coverage.

The EDDM Route Builder shows the carrier routes around the club with USPS delivery counts, refreshed at least every two weeks. The Mailing List Builder counts households in a drawn trade area, radius or ZIP Code by householder age, income, owner or renter, and children, the filters behind youth and active-aging programs, from Census data bundled into Plavidian's system; combined filters are estimates, and the list is built after you order. Neither tool knows who works out: a fitness-interest selection, where a data provider offers one, is sourced and priced with the list.

Use EDDM when nearly every nearby household is a prospect: a high-volume, low-price club, a presale, or a January saturation of the closest routes. Use an addressed list when the offer is for one group, or when current members must not see a lower price.

EDDM delivers to every address on the routes you choose (USPS), paying members included. Census data can steer which routes you pick but not which households get the piece, so EDDM cannot single out families for a youth program or 55-plus households for active aging. For a mid-size club, price both on the same area, then weigh what keeping members off the offer is worth.

    Pick the week the presale or January pieces should land and work back from it. The order cutoff is 12:00 PM Pacific, or 9:00 AM Pacific for a 2-day rush on certain products, and the production clock starts at proof approval (turnaround times).

    CASS processing, duplicate removal, householding for family memberships and NCOALink when the mailing needs it; the active-member file you send is applied as a suppression, so prospect lists skip current members.

What a gym mailing costs, and what moves the number

There is no standard price per piece or per member: cost follows the count, the piece and its stock, the list, postage class and entry point, and how many drops you run. Presales and New Year pushes are sequences, so price the whole sequence.

Quantity
Per-piece print cost falls as a run grows, so 10,000 presale flats cost less each to print than 2,000.
Piece size and stock
Size and stock set the print price: a presale flat can run 6.5x9, 8.5x11 or 9x12, a referral card can step up to heavier 16pt stock, and a win-back letter adds an envelope and inserting.
The list
EDDM needs none. Member and former-member files cost nothing to buy but still get CASS processing; new-mover and consumer lists are sourced and priced per order.
Postage class and entry
Postage on a presale or January EDDM drop depends on where it enters, and the EDDM Route Builder prices origin, SCF and DDU entry side by side. Marketing Mail requires at least 200 pieces or 50 pounds in each mailing (DMM 243), so a small monthly new-mover batch may pay First-Class prices.
Frequency
A presale runs several drops and a New Year push one or two; each drop's postage must clear before that drop mails, so plan the payments with the drop dates.

Printing can be paid by card. USPS postage is paid by check or wire, and mail is released once postage has cleared.

Measuring results

Measuring joins, not guest passes

Measure in your club software: give each drop its own offer code, sign-up page or phone number, ask new members how they heard about you, and match their addresses against the mailed list. For EDDM, compare joins from mailed ZIP Codes with ZIP Codes you held back.

Plavidian Insight is included with every Plavidian mailing at no separate charge. It reads USPS Informed Visibility scans by Intelligent Mail barcode and shows delivery counts, a day-by-day curve, a map and a downloadable report. EDDM pieces carry no barcode, so Insight cannot track them the way it tracks addressed mail; for an EDDM drop, the Plavidian Assurance™ Report is the proof the mailing was delivered to USPS. Rules to know

California and federal rules that shape a gym offer

A printed membership offer has to match the contract and sign-up behind it.

Health studio contracts
California health studio contracts may not exceed three years (Civil Code 1812.84), must provide that services begin within six months of signing, and must tell buyers they can cancel until midnight of the fifth business day. A member may cancel for a pro rata refund if advertised facilities are not provided by the time indicated. Civil Code 1812.85
Automatic renewal
An auto-renewing membership needs clear terms before sign-up, affirmative consent, an acknowledgment explaining how to cancel, and online cancellation for online joins; the latest amendments cover agreements made, changed or extended on or after July 1, 2025. The FTC's 2024 negative option rule, known as click-to-cancel, was vacated (FTC); California's law still applies. Bus. & Prof. Code 17602
All-in prices
Since July 1, 2024, a price advertised in California must include every mandatory fee except government taxes and shipping (Civil Code 1770(a)(29)). Ask counsel how a join or annual fee should sit beside a monthly rate. California Attorney General: SB 478
Free weeks and free months
When a free week or month comes with a paid membership, state its conditions right beside the 'free' offer, charge the regular rate for the paid part, and avoid running the same free offer in one trade area more than six months in any 12. 16 CFR 251.1
Transformation stories
A member's before-and-after story is likely to be read as typical; if it is not, disclose what members generally achieve, because 'results not typical' is not enough. Fake testimonials are prohibited (16 CFR Part 465). 16 CFR 255.2

Does direct mail work for gyms?

It can, when the piece lands at a joining moment such as the New Year, a move or a new club opening nearby. Judge it by joins traced to the drop's offer code that are still paying months later.

When should a gym's New Year mail arrive?

In homes from the last week of December through mid-January, in one drop or two. Work back from that window so the proof is approved before the December holidays.
