Direct Mail for Plumbers That Lands Before the Pipe Fails

A burst pipe is no time to compare plumbers: the household calls a name it already knows or the first credible one it finds. Plavidian prints and mails the postcards, letters and EDDM flats that make that name yours, timed to land ahead of the first storm, the ShakeOut earthquake drill and Thanksgiving.

What a plumbing mail plan covers

  • Cards timed ahead of the first storm, the ShakeOut and Thanksgiving
  • EDDM flats around a sewer job, postcards to owners only
  • Your CSLB license number on every piece, as California requires
  • Plavidian Insight™ scans to line up against booked jobs

How mail fits

How mail fits the way plumbing work arrives

Mail does two jobs for a plumber: it makes yours the name a household knows before something fails, and it sells planned work. A backed-up drain goes to the plumber the family knows or finds first; a water heater replacement, sewer line or repipe is planned work that gets compared and quoted.

New customers open up at predictable moments: moving in, a crew working on the street, the first storm, a full house over the holidays. Where winters freeze, a pipe-protection card leads the fall; in coastal San Diego, where freezing temperatures are rare (NWS), the rain season, the October ShakeOut drill and holiday kitchens set the calendar.

After the first job, the value is the house: over the years one family owns it, the same home can need drain clearing, a new water heater and remodel plumbing. Maintenance agreements, such as a yearly water heater flush or scheduled root clearing, keep it on the calendar, and your customer file holds the dates (the water heater's install year, the last drain service) that make reminder mail specific.

Campaigns that work

Six plumbing campaigns with a trigger behind each

Each starts from a trigger you can schedule or tie to a job, from the rain season to a sewer replacement down the street; the dates fit Southern California.

Pre-storm sewer camera inspection

Eighty-five percent of San Diego's rain falls November through March (NWS), and the City of San Diego makes owners keep the lateral clear of roots all the way to the City main (City of San Diego). A camera inspection before the first storm is planned work with a reason.

Who
Owners; past drain-cleaning customers first
Where
Routes or ZIPs in your dispatch zone
When
In homes late September to October; January follow-up
Piece
6x11 postcard, or an 8.5x11 EDDM flat

Water heater strapping check

California requires standard residential water heaters of up to 120 gallons to be braced, anchored or strapped against earthquakes, and sellers must certify it in writing (Health and Safety Code 19211). The ShakeOut drill, October 15, 2026 for most participants (CDE), gives the card a date; where water is hard, add a flush.

Who
Owners and past customers with a known install year
Where
Service area; cite hardness from the serving water agency
When
In homes the week before the ShakeOut
Piece
6x11 postcard: strap, T&P valve, flush, anode rod checklist

Holiday grease and disposal card

Roto-Rooter calls the day after Thanksgiving the busiest day of the year for plumbers (press release): full houses, extra showers, grease in the disposal. A tip card with the emergency number is worth keeping.

Who
Past customers, then owners nearest the shop
Where
Customer file plus the closest routes
When
In homes the first half of November
Piece
16pt postcard with a grease checklist and holiday hours

New homeowner welcome

A new owner often has no local plumber yet and inherits a water heater and sewer lateral of unknown age. Sellers of California single-family homes built on or before January 1, 1994 must disclose in writing whether noncompliant plumbing fixtures remain (Civil Code 1101.2 and 1101.4), a ready opening for fixture upgrades.

Who
Recent buyers from a compiled new-mover list
Where
The ZIPs you already serve profitably
When
Monthly, from a fresh list ordered each month
Piece
6x9 postcard with a first-visit offer and its conditions

Street-of-the-job neighbor mailer

A trench or lining rig in a driveway is an ad the whole street watches; a card saying you just replaced the sewer line three doors down turns it into proof.

Who
Owner households within a set distance of the job
Where
A radius in feet around the job, or its carrier route
When
As soon after the job as the Mail Date Planner allows, while the street remembers the work
Piece
Addressed postcard with a job photo (used with the owner's permission), or an EDDM flat for every home on the job's route

Service reminders and lapsed customers

Your customer file holds the dates that say who is due: a water heater flush, root clearing, a maintenance agreement renewal. Each card or letter can name the last service.

Who
Customers with no service in 12 months or more
Where
Wherever they live, after CASS processing and deduplication
When
Quarterly, or monthly in small batches
Piece
Personalized letter, or a postcard with a variable service-date line

Audience and area

Who to mail: dispatch zone, owners, past customers

Mail the households your trucks can reach within the response time you promise for a backed-up drain or a burst pipe, not the whole county: map last year's jobs, then pick the ZIPs, routes or drawn area that match. California makes a landlord keep a rental's plumbing in good working order (Civil Code 1941 and 1941.1), so repair and replacement offers belong with owners.

The Mailing List Builder counts homeowner households by ZIP, city, district, drawn shape or a radius in feet, from Census data bundled into Plavidian's system; the list is built after you order. The EDDM Route Builder shows the same ground as carrier routes, with owner share as context. Neither tool knows home age or pipe material.

Two lists neither tool covers: your customer file, and property and HOA managers, whose buildings' backflow assemblies must be tested every year by a certified tester under the State Water Board's cross-connection rules (Las Virgenes MWD).

EDDM or a mailing list

EDDM or an addressed list for plumbing mail?

Use EDDM when every home on the routes around your shop or a sewer job could use your emergency number or a drain cleaning. Use an addressed list when only owners should get the offer, as with a water heater or sewer line replacement, because EDDM reaches every residential address on a route and cannot pick out owners.

EDDM Fits when

  • The routes are mostly single-family homes; the Route Builder shows owner share
  • The offer suits every door: emergency number, drain cleaning, camera inspection

List An addressed list fits when

  • Apartments are mixed in and only owners should get the card
  • The audience is new homeowners, past customers or property managers
  • The piece is a 6x9 or 6x11 postcard; Plavidian's EDDM jobs use 6.5x9, 8.5x11 or 9x12 flats

Plavidian mails EDDM on its own permit through the business mail entry unit, so the Retail limit of 5,000 pieces per ZIP Code per day (USPS) does not apply; jobs start at 200 flat-size pieces. Where apartments dot single-family routes, price both ways: every door at saturation postage, or fewer owner addresses at a higher rate plus the list.

Mail pieces

Mail pieces that fit plumbing work

Pick the piece by what it carries: an emergency number, a flat-rate price menu with job photos, or one customer's service history.

6x9 or 6x11 postcard
The addressed workhorse: still letter-size under USPS rules (up to 6-1/8 by 11-1/2 inches, DMM 201), with room for the emergency number, an offer and the license number.
EDDM flat: 6.5x9, 8.5x11 or 9x12
Every home on the routes around a job, with room for a flat-rate price menu or before and after photos.
Letter in a window envelope
Service reminders and property manager notices; the address prints on the personalized letter itself, so the page naming a customer's last service goes to that customer.
Door hangers
Printed for your crew to hang next door after a job, not mailed: pickup in Vista, local delivery around North County, or shipping.

How it runs at Plavidian

How a plumbing mailing runs at Plavidian

The order a storm-season card runs in, from the in-home week to the scans that tell you when to staff the phones.

  1. Mail Date Planner

    Set the in-home week

Pick the week the card should land, such as the week before the ShakeOut, and the Mail Date Planner works back to the artwork, proof and mail dates.

  2. Mailing List Builder

    Size the dispatch zone

Count owner households, with estimated postage, in the ZIPs or shape your trucks cover.

  3. List processing

    Clean or source the list

Plavidian CASS-processes and deduplicates your customer file, running NCOALink when needed; with a free account, Mailing Blueprint™ prices its postage first, with a +/- 5% planning range.

  4. Plavidian Studio™

    Design around the license number

Plavidian Studio™ draws the bleed, safe zone and address area so the license number survives the trim; Print File Check grades your own PDF A to F.

  5. Production in Vista

    Print and address

Printing, addressing and inserting run at Plavidian's Vista plant, and every job, including work an approved vendor produces, is held to the Plavidian Standard™.

  6. USPS preparation

    Enter the mail

Plavidian mails on its own USPS permits, so you need none, and enters mail locally or drop-ships it to facilities near the homes in your dispatch zone.

  7. Plavidian Sentry™, optional

    Camera check on letters

On letter-size pieces such as a reactivation letter, the optional Plavidian Sentry™ add-on reads each piece as it is addressed and matches it to its record.

  8. Plavidian Insight™

    Watch the scans

Plavidian Insight comes with every mailing: USPS scans as the cards move, so you know when to staff the phones.

What it costs

How much does plumbing direct mail cost?

Five choices set the price of plumbing mail: how many homes sit inside your dispatch zone, a postcard or an EDDM flat and its stock, whether the addresses come from your customer file or a purchased list, the postage class and entry, and how many drops the rain season takes. Printing and postage are priced and paid separately.

Quantity
Print cost per piece falls as runs grow, while postage is paid on every piece, so the size of your dispatch zone drives the total.
Piece and stock
Addressed 6x9 and 6x11 postcards pay the same presorted prices as letters, and EDDM flats pay saturation flat prices (Notice 123); 16pt stock costs more to print than 14pt but mails at the same postage.
The list
Your file of past drain, water heater and sewer customers costs nothing to buy but still needs CASS processing; purchased homeowner or new-mover lists add a data cost; EDDM needs no list.
Class and entry
Marketing Mail costs less than First-Class, but its USPS service standards for mail entered at origin are longer (39 CFR 121), so it suits storm and holiday cards planned well ahead; entering mail at the SCF or DDU near the homes can lower postage.
Frequency
Each drop pays its own postage, so price the season (an October sewer card, a November holiday card, a January follow-up), not one card.

Printing can be paid by card. USPS postage is paid by check or wire, and mail is released once postage has cleared.

Measuring results

How to tell whether the cards bring calls

Match booked jobs to what you mailed: before the cards print, give each campaign its own offer code and a phone number or landing page used only on that mailing, and tag the source of every booked drain, water heater and sewer job in your dispatch software. After the in-home week, check new jobs against the addresses or routes you mailed.

Plavidian Insight, included with every Plavidian mailing at no separate charge, follows addressed pieces by their Intelligent Mail barcodes through USPS Informed Visibility scans, so the call log can sit beside the days the mail moved. Scans show mailstream visibility, not proof of delivery, and complete scan data is not guaranteed for every piece.

Addressed mailings can add a USPS Informed Delivery® campaign through Plavidian Impression™: subscribers see a color ride-along image that links to your booking page (USPS). Plavidian Impression is not affiliated with or endorsed by USPS.

Rules to know

Advertising rules for plumbing mail

A plumbing postcard is contractor advertising. The first three rules are California's; the last two apply nationwide.

License number on every piece
Every ad, including a card, brochure or circular (16 CCR 861), must carry the license number and offer only work in the license classification (C-36 for plumbing). Leaving the number off carries a civil penalty of $100 to $1,000 for a first offense (CSLB). Business and Professions Code 7030.5
No "bonded"; name the insurance
A contractor may not advertise being "bonded" when the bond is the license bond or a disciplinary bond, and "insured" must name the type of insurance, so the stock line "licensed, bonded and insured" does not comply as written. Business and Professions Code 7027.4
Water-saving and eco claims
Environmental claims such as "saves water" or "eco-friendly" must not be untruthful, deceptive or misleading; California's statute covers every claim in the FTC Green Guides and accepts conformity with the Guides as a defense. Business and Professions Code 17580.5
Financing offers
If a card advertises installment financing and states a payment amount, the number of payments, a down payment or a finance charge, Regulation Z requires it to also state the down payment, the repayment terms and the annual percentage rate. Regulation Z, 12 CFR 1026.24
New-mover lists
USPS forbids using NCOALink to create or maintain new-mover lists, so welcome campaigns need compiled mover data. USPS NCOALink licensee performance requirements

General information for planning a mailing, not legal advice. Confirm the rules that apply to you with your regulator or counsel.

Questions

Plumbing direct mail questions

Do postcards work for plumbing companies?

They can, when they reach owners your trucks can serve before the emergency, with one clear reason to call. Plavidian does not quote response rates, because the plumbing figures published online are mostly unsourced vendor claims; an offer code on your own cards will show what yours bring.

How many postcards should a plumbing company mail each month?

There is no standard number. Mail the owner households your trucks reach within your promised response time, in monthly batches small enough that your crews could answer the drain and water heater calls and you can afford to mail the same homes again.

Count Your Dispatch Zone

What should a plumbing postcard say?

The emergency number, one offer with its conditions (is the trip charge waived?), the area you serve and your CSLB license number. Skip the stock line "licensed, bonded and insured": California bars advertising the license bond as "bonded," and "insured" must name the type of coverage.

Does EDDM work for plumbers?

It works when the routes around your shop are mostly single-family homes and the offer suits every door, such as your emergency number or a drain-cleaning offer. EDDM cannot select owners, so every apartment on a route gets a piece too, and Plavidian's EDDM jobs use 6.5x9, 8.5x11 or 9x12 flats, not 6x9 or 6x11 postcards.

Price Routes Around Your Shop

What mailing list works best for a plumbing company?

Your own customer file first, then owner households in your dispatch zone, new homeowners in the ZIPs you serve, and property managers for commercial work.

Plavidian CASS-processes every addressed list and supplies consumer, business and new-mover lists through licensed data providers; a monthly new-mover mailing is a fresh list each month, not an automatic program.

See Mailing List Services

How far ahead should we order storm-season mail?

Order early enough for the cards to land in October, ahead of the November to March rain season. Work back from that in-home date through USPS transit and production, which starts after proof approval; order cutoffs are 12:00 PM Pacific, or 9:00 AM for a 2-day rush on certain products.

Storm-response mail cannot be printed overnight; Turnaround Times lists current production windows.
