About print + insert

The letter package is direct mail's closer. An addressed envelope, a personalized letter, and the inserts that carry the ask or the notice, assembled by machine into one sealed piece. It is the format people reach for when the message is personal, the stakes are real, or a reply device has to travel with the letter, anything a postcard's open face cannot carry.

You choose a letter package when privacy, personalization, or a return path matters. A fundraising appeal needs a variable ask amount and a reply envelope; a renewal notice needs the member's specifics and a way to pay; a compliance or legal notice needs to reach exactly one household and prove it did. The envelope buys discretion the open postcard never offers, and the enclosed reply device shortens the distance between reading and responding.

Production runs in stages. Letters print with variable data, name, address, ask string, account details, then fold to fit the envelope: a tri-folded 8.5x11 drops into a #10, a half-fold into a 6x9, and full-size documents into a 9x12 that mails flat. Inserting is where the package comes together, as the letter, a buckslip or reply card, and a business reply envelope feed a single machine pass that collates, inserts, and seals. Window envelopes let the letter's own address show through, which removes a second addressing pass and the mismatch risk that comes with it; closed-face envelopes get addressed and matched by hand instead.

Personalized letters are inserted into window envelopes, so the address that shows through the window is printed on the letter itself. Multipage personalized letters are matched by a computer-controlled inserter that checks the pages match, and personalized letters going into non-window envelopes are matched by hand.

How the mailing gets ordered

  1. Send the specs and your list. Size, quantity and the dates are enough to start; artwork and a mailing list can ride along with the request.
  2. You get a priced Print and Mail job back. Printing, mailing services and postage are quoted together, usually within one business day.
  3. Your list goes into the mailing analysis. The full address and postage pass runs on the list before anything is committed.
  4. Nothing mails until you have agreed the mailing. Mail class, permit, postage and the mailing date are confirmed with you first, and a proof is approved before it prints.
  5. One job, one invoice. Mailing services and postage are billed on the same job as the printing.
  6. Printing is paid by card; postage by check or wire. Only the printing can go on a card. USPS postage is paid by check or wire transfer, and no mail is released to USPS until the full postage has been received in cleared funds.

  • Mailing services cover list and mail prep, the postal paperwork, tray, sack and pallet prep, and addressing every piece. Options priced separately on the same sheet: NCOA, tabbing, folding and inserting, and piece tracking.
  • Per job there is a $20.00 mailing job setup, and mailing services carry a $125.00 job minimum — so a short run pays the minimum rather than the per-piece rate.
  • Postage is USPS Marketing Mail at the commercial rate, entered at origin rather than drop-shipped, from USPS Notice 123 effective July 12, 2026.
  • It can be less. a qualifying nonprofit pays $0.516. Trucking the mail to the destination facility instead of entering it here brings it to $0.742 (a drop-ship charge applies). Saturating whole carrier routes goes as low as $0.308.

Do window envelopes really remove a step?

Yes. The letter's own printed address shows through the window, so there is no separate envelope addressing pass and no risk of a letter landing in an envelope addressed to someone else. Closed-face envelopes are addressed and matched by hand instead.

Can each package include a reply envelope?

Yes. A business reply or #9 return envelope collates and seals in the same machine pass as the letter, and perforated or tear-off reply cards can be built in as well. Tell us the reply path and we assemble it into the package.

Why this is not the cheapest price you will find

Every job goes through the same checks, however small it is. We are a USPS Full-Service certified mail service provider, and the judgment that comes with that is applied to a 500-piece order the same way it is to a 500,000-piece one.

  • Your artwork is checked before it prints. Size, bleed, resolution, color space, and on a mailpiece the address and barcode clearances that decide the postage rate.
  • A proof is emailed and nothing prints until you approve it. No job goes to press on an assumption.
  • If it mails, the postage is planned, not discovered. Piece shape, list quality, presort and entry point are what set that bill, and they are decided before anything is printed.
