Mail Date Planner: work backward from the day it lands
Tell us the day your mail has to be in homes and the planner builds the whole schedule backward from it: when your artwork is due, when the proof has to be approved, when it prints, when it is addressed and presorted, and the last day it can enter the USPS. Transit is only the final leg, and on most campaigns it is not what decides the date.
Production times are Plavidian's own: print-ready files and proof approval the same day, printing and finishing 3-4 business days, mailing services 1-2 business days with list processing included. Delivery windows are USPS service standards, or 3 to 5 days for Marketing Mail we drop-ship to the destination SCF, and none of them is a delivery guarantee. Business days only: weekends and federal holidays are skipped on our side, and USPS days count Monday through Saturday.
Easy to miss when you plan a mail date
- Mailing services include the list. CASS, NCOALink and presort run inside the 1-2 days of mailing services, and your postage depends on them.
- Proof approval. Nothing prints before you approve, so your approval sits on the critical path.
- Drop shipment. Entering closer to the destination buys days back, minus the truck ride to get there.

Our production times and USPS delivery windows
These are Plavidian's own production figures, plus the delivery window after USPS takes custody. Peak season and bundling are added on top when you switch them on, and the truck leg appears when you choose a destination facility.

How the schedule is built
Every stage, and why it takes the time it does
A postcard drop that has to land on a Tuesday needs its artwork locked weeks earlier. The schedule above names the weekday each step falls on, so nothing is a surprise.
Preflight, same day
Your files are checked for bleed, resolution, color space and the USPS address and barcode areas the day they arrive. Problems found here cost hours; problems found on press cost days. Run files through the free print file check early.
Proof approval, same day
The proof goes out the day your files are in, and nothing prints until you approve it. The production clock starts the moment the approval arrives, so a proof that waits moves every date after it.
Printing and finishing, 3-4 business days
Press, cutting, folding and binding as the format needs, once print-ready files are in and the proof is approved, both on the same day. Political and peak mail season adds time, and so does bundling, which is why both are switches on the form above.
Mailing services, 1-2 business days
List processing (CASS standardization, NCOALink move update, deduplication and presort), addressing, trays and pallets, postage statements and the USPS paperwork. Your postage rate is decided by the list processing, and all of it is inside this figure. EDDM has no list to process.
Freight to the SCF, 1-3 business days
Only for mail we drop-ship. The pallets travel by truck from Vista to the destination facility, and each lane in the entry list carries its own transit. Drops under 5,000 pieces enter at origin instead.
Transit
USPS controls this stage, and nobody can guarantee it. First-Class runs fastest; Marketing Mail takes 3 to 10 days from origin. Drop-shipped to the destination SCF, Marketing Mail letters and flats are planned at 3 to 5 days, plus the truck ride to get there.

Frequently asked questions
How long does direct mail take to arrive?
After USPS takes custody: First-Class Mail typically 2 to 5 delivery days, USPS Marketing Mail and carrier-route saturation 3 to 10 from our origin entry, or 3 to 5 days when we drop-ship it to the destination SCF. Those are planning windows, not guarantees, which is why any campaign with a hard date should be planned backward with room to spare.
When do my artwork files need to be ready?
The schedule above names the exact day for your product, quantity and entry point. Working backward from your in-home date it subtracts USPS transit, any truck time to a destination facility, mailing services (1-2 business days, list processing included) and printing and finishing (3-4 business days). Print-ready files and proof approval fall on the same day, so the day your files are due is also the day your proof has to be approved.
Where do the production times come from?

Does the mailing list affect the schedule?
Yes, but not as a separate stage. CASS standardization, NCOALink move update, deduplication and presort run inside mailing services, which takes 1-3 business days in all, and your postage rate depends on the result.
Can a mailing be rushed if the standard schedule does not fit?
Usually. There are three levers: First-Class instead of Marketing Mail, a 2-day rush on the products and quantities that allow it, and drop-shipping to the destination SCF. Send the schedule through and we will check which of them your date needs before we promise it.
When should holiday cards mail to arrive before Christmas?
Set the in-home date to December 24 in the planner above and it builds the schedule for your format and quantity, holidays included. As a rule of thumb, First-Class needs to enter USPS about a week before, Marketing Mail about two, and production runs before that, so holiday files should be locked in November.
Does drop shipment really save time?
Usually yes. Marketing Mail entered at the destination sectional center facility instead of our origin BMEU is planned at 3 to 5 days to mailboxes, against 3 to 10 from origin. It is not free time: the pallets have to get there, which is 1 to 3 days by truck depending on the facility, and drops below 5,000 pieces are planned at origin instead.
